Prism Electric embarks on cloud-based construction ERP


Field-driven platform deployment paves the way for seamless workflows and future expansion

Founded in 1994 with five employees, Prism Electric has grown to reach over 700 employees with offices in Texas and Oklahoma. Prism Electric has a strong portfolio of successful projects ranging in size and complexity from simple one-day projects to multi-million dollar technical projects. The company also includes a service maintenance division that has grown to handle all aspects of electrical construction to meet customer needs, a one-stop shop to provide customers with 24-hour continuous customer service.

In an effort to keep Prism’s growth momentum going, the company was willing to take on more, only to find that its tools and workflows were not designed for the increased demand. Executives understood that in order to grow the business and meet new technical requirements, the business needed to upgrade its systems.

Luc Harmon, an electrical engineer at Prism Electric, Inc. responsible for resolving workflow issues, said, “We have a strategic plan to expand our market presence and leverage the strong Texas economy, and that means we need to have the tools to facilitate that growth. “

Although not an IT intensive company, Prism Electric had an on-premise ERP that had been implemented about a decade ago. “The problem,” Harmon continued, “was that our project teams weren’t using it. Instead, we created all kinds of workarounds with spreadsheets. We knew it wasn’t. an effective way forward. “

In 2020, Prism Electric hired a consultant, ERP Advisors, to help them navigate the cloud-based ERP selection process and find a solution focused on operations and work controls focused on construction.

“We thought that one of the major shortcomings of our old ERP was that it had been selected exclusively with accounting in mind. Therefore, the decision did not garner much support from our operations team, ”explained Harmon. “So we put more emphasis on the needs for project management and construction staff in the field and made sure that every group, especially operations, had a vote in the decision.”

“Proof” functionality
To further ensure buy-in, Harmon assembled an assessment team made up of individuals from every department and business process within Prism Electric, from design to services. “We wrote a script of what we wanted to see and asked the ERP vendors to follow it and ‘prove’ their functionality. The script went way beyond a sales pitch or technical demonstration. We wanted ERP providers to prove the functionality of our. In fact, functionality was so important that we didn’t even start talking about pricing until we made the final decision, ”he said.

While it touched on payroll and human resources, the script focused on accounting for labor costs and how project managers track project progress, including schedules and budgets. The script also focused on how this information is conveyed to leadership to support decisions.

The team also became aware of some capabilities that were not on their initial list of requirements.

Harmon noted, “Once we verified that CMiC could meet all of our operational needs, we began to look at some of the other features of the solution. Our project managers really love using a construction productivity app for field markups, progress photos, and issue tracking. We have found that CMiC’s FIELD application has comparable capabilities with the benefit of connecting to all of our other project data. “

Once the evaluations were completed, the selection of Prism Electric was reduced to two choices. Harmon confirmed, “After a two-day final evaluation and a scorecard evaluation, it was obvious.”

Transparent data flows
Prism Electric moved to CMiC in January 2021. These same people who participated in the evaluation are also the champions and subject matter experts during implementation. Harmon expects the company to launch the first phase of October 2021 and with the second phase by January 2022.

Asked about the immediate return on investment once the CMiC platform goes live, Harmon noted the movement of data from one phase to the next. He said: “We do a lot of work in procurement delivery of design assistance projects, where we are involved from the start of a project design. Having an integrated platform that collects and moves data from preconstruction to construction to handover and maintenance will help us be a great partner for our customers.
